Call for Participants - second Face-to-Face Consultation on Youth Forum Strategic Plan

Description of event: As part of the elaboration of the European Youth Forum Strategic Plan post-2019, Member Organisations are invited to the second Face-to-Face consultation on the strategic planning process, taking place on 8 September in Brussels.

This Face-to-Face consultation is held prior to the Council of Members II-19, (at which the new Strategic Plan will be adopted), following the two online consultations (the first online consultation and the Membership Survey) and the first Face-to-Face consultation.

The Youth Forum will cover the travel and accommodation of 1 representative per Member Organisation to join the second Face-to-Face consultation on the strategic planning process.

Selection criteria: The Youth Forum will cover the travel and accommodation of 1 representative per Member Organisation to join the second Face-to-Face consultation, taking into consideration that participants comply with the following criteria:
Be nominated by a Member Organisation of the European Youth Forum (MOs confirmation via the database).
Be between 18 and 35 years old.
Preferably have good knowledge of the work and functioning of the Youth Forum.
Have experience in representing their organisation at Youth Forum events and activities and/or engaging with the Youth Forum and its work.
Be committed to preparing for and actively take part in the meeting.

Should more nominations be received than places available, we will aim to compose a group with a fair, gender-balanced representation of the types of organisation in the European Youth Forum’s membership, taking into account the motivation and experience of the nominees with regard to the above-mentioned criteria.

The European Youth Forum will fully reimburse travel costs upon receipt of documentation of expenses, according to existing financial guidelines. For participants not based in Brussels, the maximum of 1-night accommodation will be provided. In exceptional cases, (e.i. due to available flights), and upon request, 2-nights of accommodation could be provided. Dinners and lunches during the event are provided by the Youth Forum. Only one representative will be eligible for reimbursement.

Additional infos: In November 2019, during the Council of Members II-19 and Extraordinary General Assembly, the European Youth Forum will adopt its new Strategic Plan for the next years to come. Starting from April, the Youth Forum organised two online consultations (the first online consultation and the Membership Survey) and the first Face-to-Face consultation (at the Council of Members I-19) allowing Member Organisations to go through the necessary reflections and provide their views, ensuring that the membership has ownership of the process.

This first phase of the process aimed at helping us to map what the membership thinks and start building a skeleton for which the next strategic priorities should build around. The summary of the first round of consultations is enclosed to this call and available on the following link.

During the Board meeting III-19, of 15-16 June in Brussels, Belgium, the Board decided on the overall skeleton of the upcoming Strategic Plan based on the consultation results: it will be one document with a 4-year duration and a mid-term review with the visionary part not amendable and the Working Plan part amendable.

As a membership-based platform, ensuring an inclusive approach to the planning of its activity is crucial to the success and effectiveness, and in this sense, proper, valuable consultation is an important factor.

The second Face-to-Face consultation will be based on the summary of the main findings from the second online consultation, to be communicated to Member Organisations in August.

The discussions in the second Face-to-Face consultation and the input from the previous consultation will be used as a basis in the drafting of the strategic document.

The final draft of the Strategic Plan will be communicated to Member Organisation on 23 October 2019, and it will be opened for amendments.

The document will be then tabled for adoption at the Council of Members II-19 and Extraordinary General Assembly, 22-23 November 2019.

The aim of this Face-to-Face consultation is to involve Member Organisations in the development of the new Strategic Plan to the fullest extent possible. It will look in-depth to the priority areas for the years to come, providing the opportunity to Member Organisations to give further input, raise questions and discuss ideas, and will enable transparent discussions, in small groups and plenary.
